How to configure Open Time Drop (OTD)

Open time drop refers to a paring from their roster wherein a crew can drop into the swap board in exchange for a day off.

Step-by-step guide


  1. Check Configure>>User Preference and ensure allow OpenTimeDrops is set to TRUE


2. Set minimum reserve targets before open time drop can be used.

In Configure, go to the Employee menu, then select Employee Roster. Select Roster Targets

Select an Operator. If records have been added in this form, they will be displayed after the operator is selected.

Go to the PairingWorkType Mapping tab. 

Work groups are defined by selecting the base, rank(s) and equipment type(s). Pilot work groups will likely have only one equipment selected. Cabin crew work groups could have more than one. Select Reserves for the Category, and RES for PairingWorkType. Be sure to add this for each of the work groups that will use Open Time Drops. Save your changes.


3. In CrewRoster, go to Tools, then select Calculate Target Statistics. Enter the details of the work group(s) set up in the Daily Roster Target Limits. Select Overwrite Existing if a previously applied target needs to be updated. Click Calculate. It is recommended to do this before publishing the roster to ensure that all crew who join in the recent weeks are included in the calculation.


4. In the CrewPortal menu, click on Open Time

The number of open time drops available per work group is computed as follows:

Drop availability = Actual Reserves - (Target Reserves + Open complements)

Example: 10 actual reserves - (1 target reserve + 0 open complement) = it will give you 9 drops
