APIS and General Declaration for countries/ports requiring travel documents other than passports

Airlines can specify different travel documents/permits for crews on the APIS and General Declaration document other than home country passports.

Application

Chinese authorities require airlines who have Taiwanese or Hong Kong crews onboard flights to and from China to list the following special travel documents on the APIS and General Declaration for flights.

  • MTP - Mainland Travel Permit (Taiwanese crews)

  • Home Re-Entry Permit (Hong Kong national crews)

Other crews that are not Taiwanese or Hong Kong nationals will continue to use their passports for the APIS and General Declaration documents.

This feature can be configured for flights to other countries that require special travel documents other than passports.

Set up APIS and General Declaration to include special travel documents for China

To set up this feature

1. Insert the Main MTP - Mainland Travel Permit (Taiwanese crews) and Home Re-Entry Permit (Hong Kong national crews) in the database. Contact CAE CMS Support or your CAE Account Manager for help with inserting your travel documents data.

2. Manually encode employee document details on Employee > Records > Personal Documents. Contact CAE CMS Support or your CAE Account Manager for help with inserting bulk employee document data through a script.

3. On the Configure > Port > Port > Input Code > Immigration tab, specify the port that require special travel documents, and then select the special travel documents under the APIS and GenDec columns.

The Immigration tab lists the special travel documents other than passports. Passports are generated as the default travel document of crews for APIS and GenDec, except when special travel documents are selected in the Immigration tab.

4. Validate other crew data. This step is required for generating APIS data.

A. Check if the crew details contain an address.

B. Check if the crew’s nationality is selected in the Nationality Country field, and that the country selected contains an ISO code.
